Job description
The Non-Technical IT Administrator plays a crucial role in supporting the smooth operation of the IT department by managing administrative tasks, coordinating projects, and ensuring efficient communication. This role focuses on the organizational and logistical aspects of IT, rather than hands-on technical support. The Non-Technical IT Administrator acts as a liaison between the IT team and other departments, ensuring that IT resources are managed effectively and aligned with business needs.
Profile
Administrative Support:
- Manage IT-related documentation, including contracts, licenses, and inventory records.
- Coordinate meetings, schedule appointments, and manage calendars for the IT department.
- Prepare and process purchase orders, invoices, and expense reports.
- Maintain and update IT department databases and records.
- Assist with the onboarding and offboarding of IT staff and contractors.
Project Coordination:
- Assist in the planning and coordination of IT projects.
- Track project timelines, milestones, and deliverables.
- Communicate project updates to stakeholders.
- Assist in the preparation of project reports and presentations.
- Help with the logistical side of hardware and software rollouts
Vendor Management:
- Act as a point of contact for IT vendors and suppliers.
- Manage vendor contracts and agreements.
- Track vendor performance and ensure compliance with service level agreements (SLAs).
- Assist in the evaluation and selection of new vendors.
Asset Management:
- Maintain an accurate inventory of IT hardware and software assets.
- Track asset lifecycle and manage asset disposal.
- Ensure compliance with software licensing agreements.
- Assist with asset audits and reporting.
Communication and Reporting:
- Prepare and distribute IT-related communications to staff.
- Generate reports on IT department activities and performance.
- Maintain and update the IT department's intranet or internal communication platforms.
- Act as a go between for the IT department, and other departments to facilitate communication.
Budget Management:
- Assist with budget tracking and reporting for the IT department.
- Help with cost analysis for IT purchases.
- Track IT related spending
Qualifications:
Education:
Associate's or Bachelor's degree in Business Administration, Information Management, or a related field (preferred).
Relevant certifications in project management or administration are a plus.
Experience:
Minimum of 2-3 years of experience in an administrative or project coordination role, preferably within an IT environment.
Experience with vendor management and contract administration.
Experience with inventory management and asset tracking.
Skills:
Excellent organizational and time management skills.
Strong communication and interpersonal skills.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Ability to work independently and as part of a team.
Strong attention to detail and accuracy.
Ability to handle confidential information with discretion.
Basic understanding of IT terminology and concepts.
